# Core Concepts

## Association

An **Association** is the top-level entity — your organization. It represents the alumni group, club, professional body, or any membership-based organization using the platform.

## Chapters

**Chapters** are subdivisions of an association. They can represent regional branches, departments, cohorts, or any logical grouping. Each chapter has its own:

* Members and membership types
* Financial accounts and dues
* Settings and workflows
* Events and meeting minutes

## Membership Types

A **Membership Type** defines the terms of membership — duration, dues, renewal rules, and application workflow. Examples: "Annual Member", "Lifetime Member", "Student Member".

Key settings include:

* **Duration** — How long the membership lasts
* **Auto-Recurring Payment** — Whether renewals happen automatically
* **Reminder Frequency** — How often renewal reminders are sent (daily, weekly, biweekly, monthly, quarterly)
* **Workflow** — Approval process for applications and renewals

## Workflows

**Workflows** control the lifecycle of a membership application or renewal:

1. **Application Submitted** → Awaiting approval or payment
2. **Approved / Payment Received** → Membership activated
3. **Expiring** → Renewal triggered (manual or automatic)
4. **Declined / Cancelled** → Membership ended

Administrators can configure whether approval, payment, or both are required at each stage.

## Dues

**Dues** are financial obligations tied to a membership type. They have:

* **Amount** and **Currency**
* **Frequency** — One-time, monthly, yearly, etc.
* **Payment Schedule** — When the payment is due
* **Taxes** — Optional tax configuration

## Events

**Events** are meetings, gatherings, or activities organized by a chapter. They support:

* Online meeting links (Google Meet, Zoom, Teams)
* Automated recording via meeting bot integration
* AI-generated meeting minutes and transcripts
* Timezone-aware scheduling and email notifications

## Meeting Minutes

**Meeting Minutes** are automatically generated from recorded meetings using AI. They include:

* Summary of discussion points
* Decisions made
* Action items
* Full formatted transcript
