Workflows

Workflows define the steps a member goes through when applying for membership or renewing. You can require approvals, document uploads, and payment at each stage.

Workflow Types

Application Workflow

Controls the process for new member applications — from submission to activation.

Renewal Workflow

Controls the renewal process for expiring memberships.

Creating a Workflow

Navigate to Workflows

Go to Administration → Workflows → Create Workflow.

Name and Type

Give the workflow a name and select whether it’s for Application or Renewal.

Add Steps

Build the workflow by adding steps in order:
  • Application Form — Member fills in required information
  • Document Upload — Request supporting documents (ID, certificates, etc.)
  • Admin Approval — An admin or moderator reviews and approves
  • Payment — Member pays their dues via the configured gateway
  • Activation — Membership is activated automatically after all steps complete

Assign to Membership Types

Link the workflow to one or more membership types.

Example Workflows

  1. Application Form
  2. Payment
  3. Activation
Best for open associations with minimal vetting.

Managing Applications in Progress

View pending applications at each workflow stage from Administration → Applications. Admins can:
  • Approve or reject at approval steps
  • Send reminders for incomplete steps
  • Override steps when necessary (with audit logging)
Overriding a workflow step is logged and visible in the audit trail. Use sparingly.
